A client says yes on the phone, and you still need the quote signed. Printing it, signing it and scanning it back costs time, and the scan gets lost in a thread of emails. With an online signature request, your client signs on a link from any phone or laptop, and the signing record stays with the estimate in QuickBilling.
Check the estimate before you send it
A signature is only as clear as the document it covers. Check the items, the total, the tax lines and the currency first. The signing record holds a fingerprint of the estimate as it was sent, so you can always show which version was signed.
Send the signature request
- Open the estimate and choose Request signature.
- Enter the name and email of the person who signs. The name they type must match this name.
- Choose how long the request stays open. Turn on the email option to send it by email, or copy the link and send it another way.
What your client sees
Your client opens the link on a phone or a computer. They read the estimate, type their name and confirm. There is no account to create and no app to install. When they finish, they can download the signing record too.
After the yes: convert to an invoice
An accepted estimate offers Convert to Invoice. It does not convert on its own, so you decide the day you bill. Until then, the estimate stays as it is.
Keep the signing record with the job
The signing record lists what happened: the name typed, the time, the IP address, the device and the fingerprint of the estimate. Download it and keep it next to the estimate and the invoice, so the whole job sits in one place.
